PSR Solicitors is a leading ‘Lexcel’ Law Society accredited law firm, established in 2009 to combine the personable and approachable values of a high-street firm with the efficiency and professionalism of a larger practice. With a retinue of talented conveyancers and solicitors, the firm provides high quality legal services to clients throughout North Wales, Cheshire, and The North West.

Head of Conveyancing, Karl Lewis, was brought in to establish the conveyancing department, but found the complexity of source of funds checks began to consume time that could be better spent progressing files. Processes were time-consuming, inconsistent, and frustrating for clients and conveyancers alike. Karl recalled:

“Manual reviews meant handling large volumes of financial data, often spread across multiple accounts, all while slowly suffocating in reels of paper. In some cases, this required hours of analysis per client, simply to establish a clear picture of where funds had originated.”

Full source of funds verification could take several weeks to complete, preventing matters from moving forward. The onboarding experience for clients also created friction. Requests for additional documents often led to repeated follow-ups. In response, the firm trialled multiple Source of Funds platforms over the years, but struggled to find a solution that delivered both efficiency and a strong client experience.

An efficient approach to source of funds

PSR Solicitors adopted Armalytix to bring structure, efficiency, and consistency to source of funds checks. The platform introduced a guided, digital journey that ensured clients submitted the right information upfront, reducing the need for repeated requests and manual follow-up. Karl said:

“The impact was immediate. Tasks that previously took hours could now be completed in minutes, thanks to clear reports that highlighted key information and directed attention to any gaps in compliance.”

The introduction of features such as large item analysis provided further clarity, helping the team quickly identify where funds had come from and where further investigation might be needed. Rather than replacing professional judgement, Armalytix supports it, by presenting information in a way that is easier to interpret and act on.

This structured approach significantly reduced delays. Karl said:

“There’s no green light to say source of funds is fully complied with, but it’s a great tool to put us in the right direction and delve deeper into any gaps in the evidence we’ve received. Armalytix is not taking away from your decision-making ability to assess the risk, it’s just presenting all this information in such a way that it makes decision-making easier.”

A better experience for conveyancers and clients alike

Onboarding was conducted via video call and the platform’s intuitive design made it easy for PSR Solicitors’ conveyancers to use, even for those less comfortable with technology. Karl said: 

“Josh Boulger from the team at Armalytix is always on hand to quash any queries. My team is free to call him at any time for the support they require. Luckily, the platform is so easy to use.”

Alongside internal efficiencies, Armalytix transformed the experience for PSR Solicitors’ clients. Around 98% of clients complete the source of funds process without issue, and the live chat feature lets Armalytix respond to any complications directly.

The reduction in back-and-forth communication also played a key role. By collecting complete and relevant information at the outset, and linking directly to the client’s bank account, the system minimised the need for repeated contact, something that had previously caused frustration.

A regulated partner

PSR Solicitors also saw value in Armalytix’s regulatory credentials. Being FCA regulated provided an added layer of reassurance for clients who were often hesitant about sharing financial information digitally. 

It links to a wider trend that Karl saw in customer expectation, where there is huge resistance to providing source of funds, under the assumption that conveyancers are digging too deep and being too nosy. Giftors are especially resistant to giving information and linking directly to their bank account.

Another selling point was how Armalytix’s link to the client bank account is automatically severed once complete, compared to some other competitors, where this link can remain open for up to a couple of months.

A fully integrated solution

Following the success of source of funds, extending the partnership into ID verification was a natural next step. With the introduction of the Armalytix Identity Service, PSR Solicitors were able to bring both processes together under a single, unified platform. Karl said on the matter: 

“The Armalytix Identity Service worked so much better than the previous platform PSR Solicitors used. It looked better from a client’s perspective and from an accounting point of view, it was easier for the accounts department to reconcile ledgers with case ledgers.”

The simple, clear and fast set-up was a key advantage that let the team manage onboarding from one place, rather than across multiple systems. This consolidation simplified workflows for staff, created a more seamless journey for clients, and reinforced the firm’s commitment to AML, efficiency, and professionalism.
