Hay & Kilner is a modern, full-service law firm based in Newcastle, providing comprehensive services across an extensive range of practice areas for both businesses and personal matters. To maximise the family teams’ productivity and give them more time to do what they do best — offering expert legal advice — they turned to Armalytix to automate their client data collection. As a result, they’re saving time and resources while making their daily processes more efficient.

Armalytix has enabled Hay & Kilner to streamline time-consuming administrative tasks, such as collating financial information, Paralegal Phoebe Murphy explains. “There are certain tasks within our everyday responsibilities where we’re not necessarily applying the expertise we have within family law, like collating bank statements.

“That’s something that takes a long time, and it doesn’t allow us to apply our knowledge, so making this process more efficient means we can better use our time to provide expert legal advice.”

Within family law cases, gathering bank statements is an important task. Senior Associate Louisa Bestford says: “If we don’t have all that information, we could miss some substantial payments being transferred to various accounts. We can focus our attention on what needs to be done by automating that process with Armalytix.”

Now that the team can offload their administrative work with Armalytix, they have more time to deliver meaningful value to their clients by analysing the content of Form E, rather than spending time going back and forth between sources to collect the statements.

As a result of using Armalytix, the team at Hay & Kilner estimates that they are regularly consolidating between half an hour to four hours of manual work — depending on the number of accounts and how complete the statements are — into a task that now takes less than ten minutes. Not only does this make a huge difference practically, but it has a commercial impact too, benefitting their clients by reducing their costs.

“We charge based on a time-spent basis,” Phoebe explains. “Ultimately, it’s a large charge for the client if we’re spending two to three hours collating all these documents. It’s not valuable time for us either, because you can’t legitimately charge for something administrative — it’s beneficial for everyone involved.”

Looking to the future, the firm plans to also trial Armalytix’s analytics tools. Today, Hay & Kilner are focused on delivering the best possible results for clients, and optimising their workflow with Armalytix is helping them do that.

“One of our USPs is our close relationship with clients, so it’s important for us to prioritise face-to-face time with them as much as possible,” Louisa says. “Using Armalytix gives us back more of this precious time.”
